The initiative

The Elterninitiative Kinderkrebsklinik e.V. collects donations to purchase medical equipment and furniture, for example, or to provide the children with a playground and a playroom with games and arts and crafts materials.
The order
Since the late 1990s, the EKK had used various access applications to manage donations, donors, judgments, courts and fundraising campaigns. Since the old software could only run on a Windows 7 operating system, the application was only of limited use and also caused security problems because Windows 7 support had been discontinued. The old software also required a great deal of time from EKK employees, who repeatedly had to search for the appropriate list for processing a donation and manually synchronize data with the other databases on a daily basis.
In the search for a sustainable software solution, it quickly became clear that existing standard software for donation and membership management was usually too expensive and had unnecessary and unsuitable functions.
The EKK decided on individually developed software because, for example, all sensitive data is stored on its own server. Custom-fit functions and a jointly developed user interface were further arguments in favor of developing an individual application.
trinidat was the partner of choice for the EKK, as the technical expertise and initial mock-ups of the new application directly convinced the EKK team. It was also important for the EKK to commission a company from Düsseldorf.
The objectives
trinidat was to replace the old Access application with a modern web application. This should include some of the previous functionalities and a number of customer-specific desired functions to make working with the membership and donation management significantly more user-friendly. To this end, trinidat created an implementation concept that was coordinated with all EKK employees. This meant that all future users of the software were able to contribute their wishes and requirements for the new software even before the web application was programmed.
The administration of members and donations was to serve as a central point for recording all relevant donation and membership data. It should also be possible to distinguish between association data and foundation data. Donations and payments from members and involuntary donors (e.g. court-ordered fines) should be recorded automatically and managed digitally. The EKK also required a more user-friendly software to manage donations and payments more efficiently than before. Another customer request was to be able to continue to record donation payments manually.
- Fewer steps and easier work in donation management, so that employees have more time for projects and initiatives that help sick children and their families.
- More efficient processing of donations, especially during peak periods, such as the Christmas season.
- Precise, automatic calculation of installments and payment deadlines for court donors.
The challenge
The replacement of outdated software is often associated with some challenges in terms of data technology. Especially when, as in this case, a 25-year-old Access database application with large data records is to be replaced by a modern web application. For example, the old Access application of the EKK sometimes used different data types than the new web application. The transfer of legacy data was therefore carried out in the form of a gentle, step-by-step data migration. Other or new mandatory fields and new import and export functions were a challenging task for the experienced trinidat programmers, which they were ultimately able to solve to the full satisfaction of the customer.
The solution
The trinidat team first developed an implementation concept together with the EKK that combined all the users’ wishes and the technical requirements for the new software. In order to develop the functions tailored to the EKK and the user interface of the application in the best possible way, trinidat decided to use a web application with Blazor technology from Microsoft in the C# programming language. Bootstrap and Radzen components were used for the user interface
Results
After several months of design and development, the Elterninitiative Kinderkrebsklinik e.V. (Parents’ Initiative at the Children’s Cancer Hospital) received a powerful web application for donation and membership management that was tailored exactly to the EKK’s requirements. The joint elaboration of the requirements with all employees, a secure transfer of legacy data, a stable software architecture and an intuitive user interface ensure that the application can now be used smoothly. As a result, this means: many fewer work steps in donation management, a clear menu structure and a functioning error prevention system.
This means that EKK employees can manage donations and members more quickly and easily, giving them more time to devote to the projects close to their hearts that benefit sick children.
